Planning Assistant

Job Description Summary:

This position is responsible for assisting and performing assigned Administrative duties that include support plant controller with production planning work orders, accounting functions by inputting, monitoring, analyzing and reporting accurate and timely financial information in accordance with generally accepted accounting principles, monitor and manage assigned ISO program activities, work closely with each department manager to process necessary related production documentation on a daily basis, and provide purchasing support for all required materials for Wasco Manufacturing in a cost effective and timely manner, following established company guidelines and accepted policies. Maintain required record keeping demonstrating compliance with company policies and cost savings. All duties performed efficiently, safely with a positive and respectful professional attitude.

 

Duties and Responsibilities:

  • Under the direction of plant controller, perform following tasks related to production planning and accounting: a.) plan and create production work orders. b.) prepare, process, and reconcile accounts payable invoices (daily) ensure accurate sales tax accruals are posted (daily); d.) ensure accurate account codes and approval levels on payables (daily); e.) batch payables weekly to Corporate for payment; and f.) resolve any problems by immediate communication with plant accountant to ensure timeliness and accuracy of payments (as needed).
  • Perform monthly financial closing under direction of Plant Accountant to include journal entries; plant spending, actual and forecasts; reconcile month end activity and inventory; prepare reports and distribute; audit petty cash reports; reconcile bank account; submit Toll Production invoices to corporate; and calculate variances.
  • Work Closely with Maintenance/Engineering to maintain Capital Progress (monthly), to include maintain project files including invoices, PO’s and pertinent documents; prepare monthly status reports for management review; and reconcile project costs for general Ledger purposes.
  • Provide reports and analysis as required and requested.
  • Maintain daily work schedules on outlook calendar within public folder for manager access.
  • Support the process to maintain the Corporate “Dynamics: Accounting and Inventory control system.
  • Contribute to the success of the Plant Objectives by actively supporting safety, health and environmental regulations, policies and procedures throughout our operations to ensure a no lost time work environment; paying attention to budget and spending; and in other ways, as requested and needed.
  • Actively support ISO initiative and complete assigned tasks by Administrative and Plant managers.
  • Other duties as assigned by Wasco management.
  • Provide OJT (On the Job Training) as directed.
  • Provide effective support when purchasing materials for Wasco plant departments. Utilize the production plan and local purchase requisitions forms with written approval to purchase goods and services. Ensure all required approval levels are complied with prior to purchase of material and services order. Enter all purchase orders into the Dynamics-HLM system (daily)
  • Ensure all materials are purchased and configured in a cost-effective manner. Competitively source all materials, particularly inventory items, maintaining supporting documentation as required demonstrating compliance with company purchasing policy. Obtain product specification and MSDS sheets; help to maintain plant files of these items (daily)
  • Perform cycle counts to determine purchasing needs for inventory items, provide documentation of the activity, make recommendations for adjustments (weekly)
  • Provide alternate source research for required plant raw materials, packaging, formulation ingredients and equipment. (Monthly, as needed and available)
  • Contribute to the success of the Plant Objectives by actively supporting safety, health and environmental regulations, policies and procedures throughout our operations to ensure a no lost time work environment; paying attention to budget and spending; and in other ways, as requested and needed
  • Perform other duties and special projects as assigned by Plant manager.

 

Work Environment:
  • 70% office, 10% plant, 5% lab, 10% warehouse, 5% assigned projects and meetings.
  • All plant warehouses, operations areas and offices

 

Education/Experience:
  • Forklift certification
  • Good skills with personal computer operation and programs.
  • Ability to communicate effectively in English (speak, read and write)
  • Good communication skills with plant personnel and vendors.
  • Knowledge of plant products and processes.
  • Familiarity with contractual agreements.
  • Working knowledge of hazardous materials.
  • Familiar with standard chemical plant equipment and standards.
